Roles & Responsibilities

About the Role

We are looking for a proactive and organized Assistant Manager – HR & Administration to support the smooth operation of HR and administrative functions at our elastic manufacturing facility. The ideal candidate will play a key role in managing HR operations, employee relations, and general administration to ensure compliance, efficiency, and a positive workplace environment.

Key Responsibilities

HR Operations & Employee Management

  • Handle daily HR operations including attendance, leave management, payroll coordination, and HR documentation.
  • Support the recruitment process by coordinating interviews, onboarding, and employee orientation.
  • Maintain updated employee records, contracts, and statutory documents.
  • Monitor and control absenteeism, timekeeping, and shift management.

Employee Relations & Engagement

  • Foster a healthy employee relations climate through effective communication and counseling.
  • Address employee concerns promptly and assist in maintaining discipline across departments.
  • Support employee welfare and engagement initiatives to enhance retention and morale.
  • Liaise with production teams and supervisors to ensure smooth workforce coordination.

Administration & Facility Management

  • Oversee general administrative functions including transport, security, housekeeping, and canteen management.
  • Ensure a safe, clean, and compliant working environment in coordination with EHS and compliance teams.
  • Manage vendor coordination for administrative and maintenance requirements.
  • Monitor company assets, office supplies, and utilities usage.

Compliance & Reporting

  • Ensure adherence to labor laws, factory regulations, and internal HR policies.
  • Maintain accurate HR and administrative reports including absenteeism, overtime, and manpower statistics.
  • Support in organizing audits (buyer, compliance, and statutory).
  • Assist in handling disciplinary procedures and documentation.

Continuous Improvement & Support

  • Contribute to improving HR systems and administrative processes through automation and best practices.
  • Coordinate staff training and development initiatives in collaboration with HR leadership.
  • Provide HR and administrative support for factory events, welfare programs, and CSR activities.

    Key Skills & Attributes

    • Excellent interpersonal and communication skills with the ability to engage across all levels.
    • Strong organizational and problem-solving abilities with attention to detail.
    • Proficiency in MS Office and exposure to HRIS systems will be an advantage.
    • Fluent in Sinhala and English (Tamil will be an added advantage).
    • Reliable, ethical, and people-oriented with a positive attitude.

Pre Requisites

  • Bachelor’s Degree or equivalent qualification in Human Resource Management, Business Administration, or a related field (CIPM / NIBM qualifications preferred).
  • 3–5 years of hands-on experience in HR & Administration within a manufacturing or apparel environment.
  • Sound knowledge of labor regulations, HR policies, and factory operations.
  • Experience in handling employee relations, attendance systems, and general administration.
