Role Overview

The Senior Executive – Imports will be responsible for managing and coordinating all import-related activities to ensure timely and cost-effective procurement of raw materials, machinery, and components required for the company’s manufacturing operations. This role involves liaising with international suppliers, freight forwarders, clearing agents, and government authorities while ensuring full compliance with import regulations and company policies.

Key Responsibilities

Import Operations & Coordination

  • Manage end-to-end import process including purchase order handling, shipping documentation, customs clearance, and delivery to the plant.
  • Liaise with suppliers, shipping lines, freight forwarders, and clearing agents to ensure smooth cargo movement.
  • Track shipments proactively and resolve delays or discrepancies.

Compliance & Documentation

  • Ensure all import documentation (Invoices, Packing Lists, BL/AWB, COO, Form M, etc.) are accurate and compliant with customs and regulatory requirements.
  • Handle HS Code classification, duty calculations, and coordinate with Sri Lanka Customs and other government bodies.
  • Maintain updated knowledge of import regulations, tariffs, and free trade agreements applicable to the company.

Cost & Efficiency Management

  • Negotiate with suppliers and freight forwarders to optimize shipping costs.
  • Monitor import-related expenses and provide periodic cost reports.
  • Contribute to cost-reduction initiatives in the supply chain.

Vendor & Stakeholder Management

  • Build and maintain strong relationships with overseas suppliers and logistics partners.
  • Coordinate with internal departments (procurement, finance, production, quality assurance) to align import requirements.
  • Address supplier concerns and resolve disputes professionally.

Reporting & Analysis

  • Prepare MIS reports on shipment status, lead times, landed costs, and supplier performance.
  • Monitor KPIs related to imports and suggest process improvements.

Pre Requisites

  • Bachelor’s Degree in Supply Chain Management / Logistics / International Business or related field.
  • Minimum 3–5 years’ experience in import operations, preferably in the manufacturing sector.
  • Strong knowledge of international trade regulations, customs clearance, and HS codes.
  • Proficiency in MS Office and ERP systems (SAP / Oracle / similar).
  • Excellent communication and negotiation skills.
  • Ability to work under pressure and meet deadlines.
